Using the GST Module - Doing a Count

Select the Count option in MS-GST.EXE. A screen like the following is displayed;

Use the Tab key to switch between the four columns, the up and down arrows to move between the denominations. As you change any figure all other affected figures on the screen are adjusted appropriately. You can easily see how you are going by looking at the total at the bottom of the table on the right.

In the example above the counted amount is 15 cents "under" the amount Movie Supervisor predicts should be in the Till. A total of $282.80 was counted in the till, of which $224.00 was the float. Sales Summary showed $768.95 earned for the period since the last count, but also showed that a total of $710 had been removed from the Till in the form of pick ups. Including the float a total of $282.95 was expected to be in the till.

Question… Answer…
I just want to key in the total, I've counted it without the computer's help. Use the left most value column and enter the amount you counted directly into the 5c row. MS-GST will calculate a very large number of 5c pieces but this does not matter.

If you're not using the float facility press F5 to switch it off or set the default float to $0. (See notes later.)

I want the computer to help me as far as possible. Use the second column, labelled Count. Adjacent to each denomination, listed vertically on the left, enter the number of coins or notes you count in the till. The program will automatically work out how much money this adds up to and slot the amount in for you.

So long as you don't press F5 the program will automatically deduct the float from the amount you count too. If you don't want the float treated specially press F5 to turn off the float feature.

My float varies, and with the coins I only count how many there are, but with the notes I tend to add up the actual amount. It doesn’t matter whether you enter the value of each denomination as a dollar figure or as a count. Either way the program works out the other one for you.

You can Tab over to the two Float columns to adjust the float, again either by count or by value, as required. Once again the program computes the total value of the float and subtracts it from the actual count.

At any time you can press F5 to turn the float feature on and off.

The default float shown is wrong so I have to alter it every time. The value of the float can be changed by editing MS-GST.INI.

Here's How…

Each line of the file represents a denomination. On the left is the name of the denomination, eg $5, followed by an equals sign, followed by the dollar value of that denomination, eg. 5.00, followed by a comma, followed by the number of this denomination to appear in the float by default.

eg. $5,5.00,2 means this denomination is called "$5", it is worth $5.00 and the float is two pieces or 2x$5.00 = $10.

eg. 20c,0.20,10 means "20c", worth $0.20, with a float of $2.

When the 5c coin is phased out, or the $200 note introduced, these can be added.

I'm unsure how the computer has come up with the totals it wants me to balance to. Press F7 to see the Sales Summary Till Totals day by day since the last count. You can compare these figures against Sales Summary yourself if you wish. If you have not counted for weeks this report may be quite lengthy.

Press F8 to see a list of all Pick Ups since the last count. This shows the time, date and amount of each Pick Up. There is no limit on the number of Pick Ups between Counts.

Finalising the Count Press F10 to finalise the Count. You can perform a Count at any time during the day, or even multiple times during the day.

Once finalised the Counted amount becomes income on which GST is payable.

Using the GST Module - Running Reports

The GST module provides a number of reports designed to give you the information you need - in conjunction with Cheque Master and Movie Supervisor's existing reports - to check and assess your basic GST position according to all of the data you have accumulated in your computer.

Till Summary - Since Last Count

This report is accessed from F7 within the Till Reconciliation / Count option.

Field Meaning
Amount Till Total for all or part of the date shown, see explanation in the corresponding Comment.
Comment Explanation of how the amount relates to the figures you see in Sales Summary.

 

Pick-Ups Summary - Since Last Count

This report is accessed from F8 within the Till Reconciliation / Count option.

Field Meaning
Action Description of what is being shown, either the "Last Count" or a "Pick-up".
Amount The amount of the "Last Count" or "Pick-up" respectively.
Comment For a count this shows the variance, for a Pick-up the time of the Pick-up is shown.

GST Exceptions

This report is accessed from main reports menu.

Field Meaning
Amount Total dollar value of the transaction. This includes any GST.
GST The GST percentage applicable on the Amount. You will never see 10% shown here because only exceptions are listed. There is no need to keep track of sales which attract 10% GST as these can be accounted for directly.
Description / Comment Generally the description of the Stock Line which has a non-10% GST. Where a department 9 "Zero GST" sale occurs you will see the words "Department Sale (Dept 9, 0% GST)" shown here.

 

Till Reconciliations

This report is accessed from main reports menu.

Field Meaning
Amount The actual dollar value of each count.
Variance The variance between Movie Supervisor's Sales Summary and the actual value of the count.

Note that this variance relates to the true Till Total at the time of the count, if the Sales Summary has been modified in any way since (eg MS-MOD or by setting the date back) the variance MS-GST shows will remain unchanged. In this way MS-GST remains a true audit.

 

Cash Summary

This report is accessed from main reports menu. It shows the Counts done in a period and relates them to Sales Summary.

Field Meaning
Daily Till Total for the date shown from Sales Summary.
S/Summ Till Total, also from Sales Summary, but for the period between the previous count and the count shown. This figure may relate to only part of a day, or to several days.

The total S/Summ figures for a day equal the Daily figure only if;

  • a count was done exactly at the end of the previous trading day
  • a count was done exactly at the end of the day in question
  • Sales Summary has not been modified in any way since.

It is normal for these figures to not match simply because counts may not occur at the exact end of day. eg. if you do a Count, then sell a $1.10 chocolate bar before closing up for the night the S/Summ figure for that day will be $1.10 lower than the Daily figure, but the S/Summ figure for the next day will be $1.10 higher.

Actual The actual cash counted.
Variance The difference between S/Summ and Actual.
Type The word "Count" if this item is a count, or the name of a day of the week if this is simply a Sales Summary "Daily" figure.

 

GST Audit Listing

This report is accessed from main reports menu. It shows all actions which have been audited in the course of Movie Supervisor and MS-GST activity. Most of the information produced in the other reports is based on this data. This report is the only central summary report which lists everything MS-GST tracks in regards to Movie Supervisor, although the individual other reports provide more detail.

Field Meaning
Amount The dollar value of the transaction.
Comment A comment which explains the transaction;

GST Except. = a non 10% GST sale, see also GST Exxception report.

Pick Up = a pick up.

Count = a count, including the approximate variance.

 

Cheque Master Audit Listing

This report is accessed from main reports menu. It shows all actions which have been audited in the course of Cheque Master activity. This includes only transactions to Expense dissections. Cheque Master's own internal GST report provides another, more useful, view of this data.

Field Meaning
Grp The Cheque Master code for the dissection group of this transaction. MS-GST does not have access to Cheque Master's group names.
Diss The Cheque Master code for the dissection of this transaction. MS-GST does not have access to Cheque Master's dissection names.
Supplier The supplier name as entered into Cheque Master.
Invoice The invoice number as entered into Cheque Master.
GST Paid The actual dollar amount of GST paid on this invoice.

 

GST Summary Report

This report is accessed from main reports menu. This is the main MS-GST Report, all other reports are essentially intended to explain and support the figures in this report.

This report is divided into 5 pages for on-screen display, but prints on 2 pages. Use the number keys or F5 to change page on-screen, or press P to print the report.

Field Meaning
Gross Cash Income  
Hiring Charges Total earnings, as recorded in Sales Summary, for all hires and late returns, even if cash was not received for them. (This is compensated for by subtracting Charges.)
Stock Sales Total earnings for stock sales, whether by department or item, even if cash was not received for them.
Payments Cash received as a result of members paying off their monies owing.
Charges Cash not received (and therefore deducted from the total to reconcile) because the earnings were put on member monies owning rather paid. This income is accounted for, and tax paid on it, when it comes in in the form of a Payments.
Vouchers The value of vouchers received. Note that this amount is included in the totals for Hiring Charges, Stock Sales and Payments and is shown for reference only. The GST legislation states that GST is payable on a voucher sale at the time of redemption - not when the voucher is sold - so it is appropriate that voucher amounts be included. For this reason vuchers must be sold at 0% GST by including them in department 9.
Reconciliation Adj. This is the amount by which the Sales Summary Cash + Voucher total for the date range requested differs from the Sales Summary figure described next. It will be $0 only if Counts are always performed at the very end of trading each day. Refer to the description of Sales Summary below for more details.

NOTE : This figure will also reflect any adjustments to Sales Summary created by editing Sales Summary with MS-MOD. MS-MOD adjusts only Movie Supervisor's Sales Summary, it does not adjust the GST files.

Sales Summary This is the total cash earnings according to Movie Supervisor's Sales Summary for the exact period of all counts which occurred during the specified date range. This is illustrated below;

The above diagram shows five counts which have been performed at various times, 1 on Tuesday, 3 on Wednesday and 1 on Thursday.

If a report is run for Wednesday the Hiring Charges, Stock Sales, Payments, Charges and Vouchers figures will all be for the whole, exact, trading day regardless of counts. (See grey area below the line.) This means these figures will correlate with those you can find in Movie Supervisor's Sales Summary section.

The Sales Summary figure on the other had will relate to C2, C3 and C4. (See grey area above the line.) This is necessary because the cash accounting system Movie Supervisor uses relates to actual, reconciled cash income and therefore can only include earnings which have been reconciled by a count.

The Reconciliation Adj. figure is the earnings for the last past of Tuesday (after the dashed line) less the earnings for the last part of Wednesday (after the dashed line).

The diagram above is only an example, Counts can be performed as often or as rarely as you wish although counting at least once per GST accounting period is required in order to obtain useful reports.

Variance The total is the variance found during Counts for the period. This variance relates to differences between what Movie Supervisor computed should be in the Till and what was actually counted in the Till. (This has nothing to do with the issues discussed in Sales Summary above.)

The most common cause for this kind of variance is when the operator agrees to charge a customer a higher or lower amount than the computer suggests but forgets to alter the amount on the computer. (eg. tape has wrong price code.)

GST Payable  
Gross Cash Income This is the final total from the Movie Supervisor Gross Cash Income section.
GST Zero Rated This is the actual audited total value of all items sold at 0% GST. This figure is deducted from the total sales since, by definition, no GST is payable on this amount.
GST Exceptions This is the actual audited total value of all items sold at any rate of GST other than 0% or 10%. This figure is deducted from the total sales to prevent the standard 10% GST calculation being applied to it. A separate figure of the total amount of GST charged on these sales is also kept (GST Charged (GST Execeptions)).

Under the initial version of the GST legislation the only possibility of a non-0%-10% rate is a "hybrid" item. In later years however other GST rates may be added. This facility is essentially for future use though it is fully functional now.

GST Charged (Zero Rated) This figure is always 0. It is shown for clarity only.
GST Charged (GST Execeptions) This is the actual audited total value of GST charged on GST Exceptions.
GST Exceptions  
Sales This is the value of sales for the GST rate shown.
GST Charged This is the calculated amount of GST charged on the sales value shown.
GST Paid  
Cheque Master This is the total amount of GST paid entered into Cheque Master during the date range. Cheque Master 1.20 or higher is required.

MS-GST can read Cheque Master's data file directly so no "conversion" or "export" is required.

GST Summary  
GST Payable The computed total amount of GST collected during the date range.

This is the figure as computed in the GST Payable section.

GST Paid The computed total amount of GST paid during the date range.

This is the figure as computed in the GST Paid section.
